Purpose
The primary focus of the Office Administrator role is to provide operational support to the business to ensure the efficiency and effectiveness of the organisation is maintained to the satisfaction of our customers, suppliers and colleagues.
You will also work closely with the APAC management team to support them with diary management, scheduling of meetings, travel requirements, international visits, etc
This is a part-time position of 15-20 hours per week. We are flexible on the days worked to suit the successful candidate; however Wednesday is a required working day to support business operations and collaboration with the wider team.
What you'll do
Office Support and Administration
· Manage office equipment and supplies, and grocery inventory, liaising with contractors for maintenance and procurement.
· Ensure smooth operation of the office, including managing building maintenance and tenant requirements.
· Oversee plant care and cleaning to ensure a welcoming office environment
Office Culture and Engagement
· Coordinate and organise monthly team morning teas, celebrations, and office events.
· Support the planning and delivery of employee engagement initiatives, social activities, and company-wide celebrations.
· Assist with the logistics and coordination of internal events, including catering, venue bookings, communications, and event setup.
Internal Communications
· Coordinate and distribute internal communications including employee announcements, organisational updates, celebrations, and wellbeing initiatives.
· Support the creation and maintenance of internal documentation, guides, and communications materials.
· Assist in promoting company culture and employee engagement initiatives across the business.
Meet and Greet Clients and Visitors
· Meet and greet all clients and visitors, serving as the face of the company.
· Ensure all guests feel welcomed and are directed appropriately
Diary and Travel Management
· Coordinate travel arrangements for management and international visitors, including booking flights, accommodation, and restaurant reservations.
Health and Safety
· Work with Health and Safety Committee to administer health and safety functions, ensuring compliance with statutory and company policies.
· Manage fire wardens and first aiders, ensuring adequate training and coverage
HR Support
· Assist with onboarding new employees, including office inductions and maintaining HR records.
Coordinate the ordering, setup, and distribution of IT equipment and peripherals for new employees.
Manage the return, collection, and tracking of company IT equipment and assets for departing employees.
· Support payroll processes by assisting with employee data updates, leave administration, and payroll queries.
· Manage security passes and access when they onboard and depart
· Ensure all staff and visitors have correct and updated security passes and access
· Maintain the NZ office asset register, ensuring company equipment and assets are accurately recorded and tracked.
· Coordinate end-to-end procurement, inventory control, and customer fulfilment of equipment sales, including the ExaminePro USB system.
· Liaise with the IT team in Australia to support local IT administration activities and coordinate employee equipment, access, and technology requests.
What you’ll bring with you
Experience:
· Min 5+ years’ experience in an admin/office management/PA/EA position preferably in a SaaS or technology-driven environment.
Specialized Knowledge and Skills:
· Excellent communication and interpersonal skills, with the ability to convey complex information clearly and effectively.
· Strong time management and organisational skills with attention to detail, and the ability to manage multiple deliverables/projects simultaneously.
· Problem-solving mindset with the ability to think strategically and identify innovative solutions.
· Demonstrated success in managing customer relationships
· Proficiency in using office software (e.g. MS Office, Slite, Slack).
